Connect your printer to WiFi and print from any device

Wireless printing liberates you from being tethered to your printer. Once set up, you can print from any device on your network - your laptop, phone, tablet, or even a guest's computer. This guide covers everything you need to know about wireless printing.

Before You Start

Gather this information before setting up your wireless printer:

  • Your WiFi network name (SSID)
  • Your WiFi password (WPA2/WPA3 key)
  • Your printer's manual (for button locations)
  • Any software CD that came with your printer

Pro Tip

Keep your printer close to your router during initial setup. Once connected, you can move it anywhere within WiFi range.

Method 1: Using WPS (WiFi Protected Setup)

The easiest way to connect - if your router and printer both support WPS:

  1. Locate the WPS button on your router
  2. Press the WPS button on your printer (usually on the control panel)
  3. Within 2 minutes, press the WPS button on your router
  4. Wait for the printer's WiFi light to stop blinking and stay solid
  5. Your printer is now connected to WiFi!

Method 2: Using the Printer Setup Wizard

Most modern printers have a built-in setup wizard:

  1. On your printer's display, navigate to Settings or Setup
  2. Select "Network" or "Wireless Setup"
  3. Choose "Wireless Setup Wizard" or "WiFi Setup"
  4. Select your WiFi network from the list
  5. Enter your WiFi password using the keyboard or number pad
  6. Confirm and wait for the connection to establish

Important

WiFi passwords are case-sensitive. Make sure you enter uppercase and lowercase letters exactly as they appear.

Method 3: Using a Computer

If you can't use the display, set up from your computer:

Windows:

  1. Download the printer software from the manufacturer website
  2. Run the installer and select "Wireless" when prompted
  3. Follow the on-screen instructions to connect to your network

Mac:

  1. Go to System Preferences > Printers & Scanners
  2. Click the "+" button to add a printer
  3. Select your printer from the list (it should appear if on the same network)
  4. If not visible, click "IP" and enter the printer's IP address

Setting Up Mobile Printing

Print from your phone or tablet:

For Android:

  • Direct Print: Open your file, tap the menu, select Print, choose your printer
  • Manufacturer App: Download your printer brand's app from Google Play
  • Google Cloud Print: (Legacy) Use Chrome to print to any Cloud Print-enabled printer

For iPhone/iPad:

  • Make sure your printer supports AirPrint (most modern printers do)
  • Connect your iPhone to the same WiFi network as your printer
  • Open the file, tap the share icon, and select Print
  • Choose your printer from the list

Troubleshooting Wireless Connection Issues

If your printer won't connect or goes offline:

  1. Restart everything: Turn off printer, router, and computer. Wait 30 seconds, then restart router first, then printer, then computer.
  2. Check WiFi signal: Make sure your printer is within range of your router
  3. Verify network name: Ensure you're connecting to the correct network (not a neighbor's)
  4. Update firmware: Check for printer firmware updates on the manufacturer's website
  5. Reset network settings: On your printer, reset to factory defaults and start setup again
